Addressing Assessment Deficiencies
Once assessors in the field assess rooms and equipment,
assessment managers review the field results and take note
the deficiencies. Deficiencies may include items that do not meet safety
codes and environmental codes, equipment in poor condition, and areas needing functional
repair.
If you have the On Demand Work application, you can generate a maintenance service request to handle the item. See Addressing Assessment Deficiencies with Service Maintenance Requests.
If you do not have access to the On Demand Work application, follow the below procedure to address your deficiencies.
Procedure
Before addressing assessment items, you typically will review the Scoreboard report and other reports to see the most urgent items. These reports are located Operational Reports and Management Reports sections of the Process Navigator. Take note of the items that you wish to address, and then follow this procedure.
- Load one of the following tasks and select the assessment project whose assessment items you wish to resolve:
- Capital Project Management/Condition Assessment/Assessment Manager/Manage Assessment Items
- Risk Management / Environmental Sustainability/Assessment Manager/Manage Assessment Items
- Select the Show button to see all assessment items for this project.
- The system shows as many assessment items for this project, as can fit in the display area.
- Use the filter console to limit the list of assessment items. For example, you may wish to see items that have a Status of N/A and therefore have not been addressed.
- You may wish to use the Smart Search button (located to the left of the top record) to see all items requiring attention, such as those with Recommended Action of Repair, or Conditions Value of Poor.
- For the items requiring
attention, complete the Status field to show how you want to address this
item. Typically, you will use the available values of the Status field as follows:
- Plan for this item
in your next facility budget. (Set Status to Budgeted.)
- Plan how you are
going to resolve this item. (Set Status to Planned.)
- Set a time and staff
to address the item. (Set Status to Scheduled.)
- Execute the work.
(Set Status to "In Progress.")
- Finish the work.
(Set Status to Completed.)
- Inspect the work.
(Set Status to "Completed and Verified.").
When the Status is "Scheduled" or "In Progress",
if you have the On Demand application, you can generate
a maintenance service request for handling the job. You can then manage the
execution of the work through the On Demand application.
