After the Users are defined, the next step is to assign the Process Navigator's processes and roles (as defined in the afm_processes table) to users.
To do so, run this task on the Process Navigator:
When you assign processes to roles, all users of that role will have that process list. For instance, suppose you create a “1 – SELF SERVICE” role and assign to it the Hoteling Create and Review Bookings process within Hoteling, the process within Service Desk, as well as the Staff Workplace Portal dashboard. Now all users that you create with role “1 – SELF SERVICE” will have those processes on their Process Navigator and see that dashboard when they log in. If you update the list of processes assigned to that role, the users will see the updated list of processes the next time they log in.
Roles and processes have been set up that have particular tasks associated with them. All you have to do is assign a role or process to the user, and all of the associated tasks will be assigned to the user. To do so:
Note: When the user's role does not allow access to any processes of a particular application, this application will not show in either the Process Navigator tab or the Save View Definition dialog. When the user does not have access to applications, they cannot save views or favorites because the application is part of the primary key of the afm_ptasks table.
The above procedure assigns the process and all of its tasks to the selected user.
For more granular assignment, you can expand a process and click and drag specific tasks to the user. Set up one user having a specific role, and then click the Apply as Template to Role button to make the same assignments to all users with that role assignment.
