Servicing Bookings
Once a booking is made, various personnel may be required to provide service for the booking. For example, they may need to inspect the room to make sure that it is ready for occupancy, check the telecommunication features, or deliver resources that the user indicated in the resources portion of the booking request.
If your job in the organization is to service a booking, you can run the Service Bookings task to access basic information about the booking and room, and prepare the room accordingly.
To prepare to service a room that has a booking:
- Run the Service Bookings task from the Process Navigator.
- In the top form, filter the list of bookings to show just those that you need. For example, you can restrict to a specific booking (if you knows its value for Percentage Code); you can search for bookings for a particular building, floor, or room; you can search for only approved or requested bookings; and you can search for bookings of a specified time frame.
- Once you enter your search criteria and choose Show, the system presents a list of bookings that meet this search criteria.
- For each booking (as stored in a Workspace Transaction record), you can access basic information about the booking. The Hoteling Resources Required field lists any specific instructions for this booking, such as the need for snacks, network cabling, coffee delivery, and so forth. (These types of resources as specified by the requestor when booking the room.)
- Choose the Show Floor Plan button to display the room's location on a floor plan drawing. This will help you know where to find the room.
- For each booking, you can also choose its Details button, which presents basic telecommunications information about the room, such as its jacks and faceplates. This information is valuable if you need to verify that the office has a working phone or network cable connection.
