Setting Up Quick-Start Preventive Maintenance

The Quick-Start Preventive Maintenance task enables you to set up preventive maintenance schedules for equipment, so that the application can automatically generate work requests for this preventive maintenance work. You enter a schedule for the equipment that you want to manage in this way, and a schedule for how often you want the application to generate preventive maintenance work requests.

For example, suppose you have an HVAC system that requires the filter to be changed every 3 months. You would enter this schedule for this equipment in the Schedule Details section of the Quick-Start Preventive Maintenance form. And suppose you have scheduled the application to generate preventive maintenance work requests every month. The application will create the first work request based on the date of first preventive maintenance you enter. The application creates the next work request three months from the first one. The application only generates preventive maintenance work requests for the work that is due before the next time it is scheduled to generate preventive maintenance.

When the preventive maintenance work request appears in the Building Operations console, as the supervisor, you can then issue this work and assign it to the appropriate craftsperson. Automatically generating work orders for preventive maintenance ensures that this work is not overlooked.

To get started, you will need to have equipment entered into the system. Although, it is not required to have equipment standards entered, standards are a useful way to manage equipment when you have multiple pieces of the same equipment.See Managing Equipment.

Comparison with the Preventive Maintenance Application

Quick-Start Preventive Maintenance does not include procedures, steps, and resources; these are included when using the ARCHIBUS Preventive Maintenance application. Using Quick-Start, there are no options for grouping Preventive Maintenance schedules when generating them. If you are using work orders, there will be one preventive maintenance schedule per work order.

Using Quick-Start, the system adds (if none exists) or updates (if one exists) the Preventive Maintenance generation rule record. If you need more than one generation rule, then you must use the Preventive Maintenance application.

Procedure

To add Quick-Start preventive maintenance:

  1. From the Quick-Start Home page, under Building Operations Process, select Quick-Start Preventive Maintenance.

    The Quick-Start Preventive Maintenance form appears.

  2. In the Filter, enter an Equipment Standard, or a Building and Floor to identify the equipment for which you want to enter a schedule, and click Show.
  3. In the Equipment list, select the check boxes for the equipment for which you want to schedule preventive maintenance.Select the check box at the top of the column to select all equipment shown. You can select more than one piece of equipment if the equipment has the same schedule.
  4. Click New Schedule.

    The Schedule Details pane appears.

  5. Define the schedule for the selected equipment's preventive maintenance by entering the following::
  6. Click Save.

    When you click Save, the schedule is saved for each piece of equipment you selected.

  7. Define how often the application generates preventive maintenance work orders.

    In the Generation section, select one of the following:

    Enter the date for the first preventive maintenance

    Note: Preventive maintenance work orders are generated on Mondays, so be sure to select a Monday as your date for the first generation of preventive maintenance work orders.

  8. Click Save.

    The application generates preventive maintenance work requests with this frequency. When it generates preventive maintenance work requests, the application only generates preventive maintenance work requests for the work that is due before the next time it is scheduled to generate preventive maintenance.

    Note: Using Quick-Start, the system adds (if none exists) or updates (if one exists) the Preventive Maintenance generation rule record. If you need more than one generation rule, then you must use regular Preventive Maintenance. See Defining SLAs for Preventive Maintenance.
