Tracking Requestors
When submitting work requests, the application automatically fills in the Requestor field on the Report Problem form with the name of the logged-on user. As a single-user call center, this might meet your needs. However, you are able to add employees to the application so that you can then select their names as the requestor for the work.
Benefits
When you add the person requesting the work to the form:
- The requestor's division and department is associated with the work. Having this information is useful to track costs by division and department.
- The requestor's phone number is available on the form, This can be useful if questions about the work arise.
Results of developing division and departments
If you associate divisions and departments with work, you can generate the following reports:
- You can review the count of closed work requests for each division and department by month for a selected year. See the Archived Work Requests by Division and Department report.
- You can drill down in the Cost Analysis Dashboard to see the division and department for the work requests contributing to the total. See Cost Analysis Dashboard.
- You can use the Filter console to generate the Open Work Requests by Problem Type and Open Work Requests by Equipment Standard reports for particular divisions and departments. See Open Work Requests Reports.
Note: You can also associate division and department with work when updating work request information. In this case, there is no need to add requestors. You will just need to develop the organizational units.See Tracking Work by Division and Department.
Before you begin
You develop the following data so that you can track requestors on the Report Problem form:
- To add the division and department for a requestor, you must first define these units. See Defining Organizational Units.
- To add requestors, you must first add the requestors as employees. Be sure to add the employee's phone number, division, and department if you want to track this information. See Entering Employees.
Associating requestors with work
When submitting a work request, on the Report Problem form, type the name of the employee in the Requestor field, and select the employee from that list that appears as you type. If you would rather see all employees, mouse over the Requestor field to show the Select Value button. Click this button and select the person requesting the work from the list. The Requestor field is automatically filled in with the name you select. See How to Create Work Requests.
