Allocate Percentages

After automatically generating Workspace Transaction records with the Synchronize Shared Room task, use this task to specify how each room is shared.

Hoteling Records 

As you review the Workspace Transaction records, you may notice that some are not editable.The Hoteling routine of the Workplace Services/Hoteling applicationautomatically generates Workspace Transaction records and completes their percentage fields. These records cannot be edited from this task because doing so would bypass the Hoteling process. These records are viewable from this view for informational purposes only.

To eliminate Workspace Transaction records generated from the Hoteling application from this view, choose to show non-hotelable rooms in your filter.

Procedure

  1. Choose this task from the Process Navigator, and the system presents in the left pane a tree for drilling down from building, to floor, to room, to Workspace Transaction.
  2. In the left pane, choose if you want to view Workspace Transaction records for all rooms, hotelable rooms only, or non-hotelable rooms only.
  1. Note that for each room, the Synchronize Shared Rooms task has created a Workspace Transaction record with Percentage of Time and Percentage of Space values of 100 percent. The Percentage Code value of the Workspace Transaction record is automatically generated by the system.
  2. Edit the generated record to reflect the percentage of time or space that the room is used.
  1. Create additional Workspace Transaction records to document the other uses of this room. For example, if you record that 60 percent of the space is used by the Finance department, you will need to create additional Workspace Transaction records to show how the other 40 percent of space is used.
  2. Save your changes.

Specifying Time Percentages

To specify time, you can directly edit the Percentage of Time field and enter a value.

Another option is to enter Start Date and End Date values in the Workspace Transaction record. When you run the Update Area Totals, Space Time task, you will be prompted to specify another date range. The system will compare these two date ranges and determine a value for the Percentage of Time field.

For example, suppose your Workspace Transaction record has a value of Jan 1 to March 31, and you specify Jan 1 to December 31 as the date range for the Update Area action. The system will complete the Time Percentage field with 25 percent.
